How To Write A Termination Letter

Being in a Manager or higher position has its perks, but it also has a major down fall.  Terminating employees!  That is something that no one likes to do.  Its awkward for both parties evolved.  The best thing to do when put in this situation is think of how you would want to be treated if it was yourself that was receiving the letter of termination.  Learn how to write a termination letter below!

- Make sure you show genuine care and concern.

- Clarity and simplicity are important – just say what is relevant and no more.

-  Try re-refreshing their memory about the incidents so you don’t have to go into great detail to explain.  Long definitions make you seem defensive.

- This letter will reflect on you and your company, so be professional and courtesy, no rude and crude!

- Written documents are preserved, and could come back to haunt you so choose your words wisely.

The termination Letter itself…
Start the letter by summarizing their history with your company and state the reason for them being let go.  You don’t have to include every reason if there is a long list, just the main points.  Always be honest and truthful with the employee.  Make sure you avoid a negative tone, instead show be understanding and show concern for their future in the work place.

Dear Mrs. Miller:

You have received three disciplinary notices within the past 9 months along with our several conversations about your behavior. Unfortunately, we are seeing no change in your performance. Within the last year you have been late 19 times, Constantly absent without excuse , and missed numerous deadlines.

Here at ( your company title ) We rely on our employees to be conscientious and have all work turned in on time. Our clients will look elsewhere if we cannot fulfill their needs and provide them with dependable service. You have demonstrated an unacceptable pattern of behavior. Thus, we can no longer continue your employment at ( Your company here).

This decision is effective immediately. You will be paid two weeks salary.  Please clear out your desk in a timely manner.

You can be assured the details of this situation will remain strictly a company matter. Our policy is to give only title of position and dates of employment to companies seeking references.
